Policies
 

Same Day Reservations must be made by calling the motel directly.  Our office is not 24 hour and as such we can not guarantee availability for walk in reservations.  Please call ahead to avoid disappointment

The Clay City Inn requires a $150.00 cash deposit for reservations paid by cash or debit to cover potential incidental cost as listed below, for all reservations. For credit card payments, card information will be held on file for such occurrences.  Should you be making an online reservation, you will be required to present credit card information or provide a cash deposit to cover these potential costs upon your arrival. 

A current driver's license or government-issued photo ID must be presented at check-in with the name matching the credit or debit card used to make the reservation.

Potential Incidental Costs or Charges include but are not limited to the following;

​

  • Losses to the rented room (items lost or removed without consent). 

  • Evidence of smoking (includes an odour of smoke, e-cigarette or vaping)

  • Non accidental damage

  • Unannounced pets

  • Damage caused by pets including soiling to carpets and linens

  • Unapproved late check out

  • Excessive cleaning to the room or linens and / or re-placement of moved furniture

  • Any other arising costs not covered by accommodation

Check-In commences at 4PM, although we do endeavour to have all rooms available ahead of this time.  Please contact our front desk in advance should you require an early Check-In.

Check-Out is by 10AM. Late Check-Out must be authorized.  Unauthorized late Check-Out will result in a $20.00 per hour charge to a maximum of 3 hours.  Failure to Check-Out within the specified time will result in a charge of an additional full reservation fee being charged.  

​

Cancellation and rescheduling

​

All refunds incur a 6% cancellation fee in order to cover the non recoverable merchant fees for the credit or debit card transaction paid by the Clay City Inn in order to process your payment.  
​

Guests may cancel their reservation without additional penalty up to 48 hours prior to their scheduled arrival.  Guests must notify the Inn of any cancellation via email or phone. Cancellations made within 48 hours of the scheduled arrival date will be subject to a charge equivalent to one night's room rate plus tax.  For reservations spanning 4 days and above, a charge of 50% of the total reservation fee will be applied. This same policy is also applied to 'no shows.  Rescheduled rooms must be confirmed prior to 48 hours of check-in date in order to avoid the above cancellation fee.  We are unable to guarantee that the requested rescheduling dates will be available.

The cut off time for cancellations and rescheduling is 4PM on the relevant date 48 hours before your scheduled arrival.

All other refunds are discretionary.  

​

Smoking

​

All rooms are NON-SMOKING.  Evidence of smoking within the rooms will result in the complete loss of your deposit or a minimum charge of $200.00 being placed on your card to cover the fumigation fee. Ash trays can be found on the premises away from entrance ways.  Please do not smoke within 6 feet of neighboring rooms.   The fumigation fee covers the cost of potential room closure, replacement of all linens within the room, carpet steaming and excessive service time.

Pets

​

Not all of our rooms are pet friendly.  This stipulation is in place to ensure the comfort of all guests, particularly those with allergies.  Please contact the front desk at 606-663-6353 if you would like to travel with your four legged friend. Our pet fee is $20.00 per night per pet.  For example, travelling with 2 pets for a 2 night stay will incur an additional pet fee of $80.00.  Our pet fee on a weekly rate is $80 pet pet. 

 

Reserving a room that is not pet friendly will result in a charge of $150.00.  Failing to disclose a pet in a pet friendly room will result in the appropriate charge being applied to your card or deducted from your cash deposit.

 

Costs for damages caused by pets will be charged to the card on file or deducted from your cash deposit.

​

To avoid the potential disturbance of other guests, pets must not be left un-attended in rooms.   

​

No more than 2 pets are allowed in a pet room.  The maximum weight of each pet is 50lbs. 

 

We do not allow cats.

​

Pets must be under the strict control of their handlers at all times and leashed when not within the enclosed rear yard.  You are responsible for your pet at all times and liable for any damage caused to any person or property while staying at the Clay City Inn. Pets are allowed off leash in the rear enclosed yard ONLY IF THERE ARE NO CONCERNS FROM OTHER GUESTS SHARING THE SAME AREA.

Please pick up after your pet.  Poop bags can be found in the rear yard. Failing to pick up after your pet may result in additional charges to your card or a deduction to your deposit.

Service Animals

​

Based on the The Americans with Disabilities Act (ADA) standards, the Clay City Inn policy defines a service animal as a dog that has been individually trained to do work or perform tasks for the benefit of an individual with a disability, including a physical, sensory, psychiatric, intellectual, or other mental disability. The tasks performed by the animal must be directly related to the person’s disability. A service dog must be trained to perform a specific task related to the disability of its handler.

Individuals with disabilities rely on their service animals to remain independent and safe. Service animals are not pets. For many individuals with disabilities, separation from a service animal has the same effect as having a wheelchair or communication device taken away. For others, separation from a service animal can put the individual in danger.

​

Are emotional support, therapy, comfort or companion animals considered service animals?

No. Provision of emotional support, well-being, comfort, or companionship does not constitute work or tasks for the purposes of what is defined as a service animal in the Clay City Inn's policy, which is derived from the ADA standards. Emotional support, therapy, comfort, or companion animals can be any animal, not just a dog. The presence of these animals provides a calming effect for many people, but they do not qualify as service animals because they have not been trained to perform a specific job or task. Therefore, an emotional support animal is considered a pet  and falls in accordance with our pet policy stated above.

Service dog handlers are expected to abide by the ADA service dog regulations at all times when on or about the Clay City Inn property and grounds. Please contact the front desk at 606-663-6353 if you require your service dog to accompany you.  The Clay City Inn has personal free roaming chickens and cats.  Therefore, all animals brought onto the premises must be disclosed in order for the appropriate provisions to be made. 

 

Other

​

Additional guests must be disclosed to the front desk.

​

We do not allow parties within rooms and as a courtesy to all guests; our quiet hours are between 11PM and 8AM. 

​

You are welcome to use our fire pit and charcoal grille in the enclosed rear yard; however this is at your own risk.  The Clay City Inn is not responsible for loss or injury caused to any guest or visitor.  The fire must be completely extinguished before leaving the enclosed rear yard and must never be left unattended. Children and young adults must be in the company of a responsible adult of 21 years or older at all times when visiting the enclosed rear yard.

Any breach of policy may result in the removal of a guest from the Clay City Inn premises without refund of reservation costs and / or any deposit held.  Any observed or suspected criminal activity on the premises will be forwarded to the local police department and guest registration information will be shared. 

​

The Clay City Inn reserves the right to refuse accommodation to any guest without explanation.
